Below is important information about the requirements and terms and conditions for group bookings with Australian Pacific Training Solutions. Please take the time to review this important information.

Course Timeframes: Courses are booked with set start and finish times. Participants who arrive late to the training course or are required to leave before the set finish time may be unable to participate in the training.  If a participant believes that they are unable to attend the training for the duration of the course, please ensure you contact your course coordinator to discuss options. It is very important that participants arrive in sufficient time to commence training at the scheduled start time. If the course is unable to commence at the scheduled start time then the finish time of the course may be delayed.

Pre-course study: If your course includes pre-course study this will be provided to each participant online after they have enrolled. Please ensure this is done prior to training.  If your participants are enrolled in an ‘online with practical assessment’ delivery mode course, it is essential they complete the online learning prior to attending their short practical assessment. 

Unique Student Identifier: Any participant without a USI will not be eligible to receive a statement of attainment.  

The Federal Government requires all participants enrolled in accredited training to hold a Unique Student Identifier (USI) prior to any certification being issued by the RTO. The USI account is free to activate and use. For employment and study purposes, the USI account will record all your accredited training from 1 January 2015. To obtain a USI please visit http://www.usi.gov.au.  

Proof of identity: Course participants may need to provide Identification on the day of the course. Identification can include driver’s licence, passport or Medicare card.  

Course and participant requirements: There are often physical requirements for students when undertaking accredited training. For example, all first aid training courses have contained within the Training Package a requirement that CPR must be demonstrated on the floor for a set period time. There can be no exceptions to these Australian Government requirements, which are clearly written into the Training Package. Therefore, students who are unable to satisfy the physical requirements of the course cannot be deemed competent or issued with a statement of attainment, even if the qualification is a necessary part of their employment conditions.  

We recognise that all students are individuals and may have different learning needs. Prior to the course date, please notify Australian Pacific Training Solutions if any participants may have a barrier to learning, so our trainer can adjust the training appropriately to meet your needs.

Student numbers: If you have more participants attending than what is outlined in your confirmation email. Please let your Australian Pacific Training Solutions contact know immediately as adjustments may need to be made to timings, equipment or trainer numbers. Course fees are based on the number of participants outlined in your confirmation email. A reduction to the participant numbers from what is in the confirmation may result in a revision of course fees.

Room set up: If training is being delivered at your premises, please ensure that the room is large enough to host the number of participants booked into the course. This means making sure there are enough seats and tables available and that the space is large enough to accommodate the practical components of training (for courses where this is required). Other equipment such as a projector or other audio-visual equipment (i.e. TV) and whiteboard is preferable.  

The room must also ensure social distancing measures are met and we will discuss this with you at the time of booking. 

Cancellation of courses: We understand that sometimes situations change, and courses may need to be cancelled. Our cancellation policy is:  

  • Client cancels course with greater than 7 business days’ notice – no cancellation fee applies  

  • Client cancels course with less than 7 business days’ notice and prior to training – 50% cancellation fee applies  

  • Client cancels course on the day of training, or does not give notice of cancelled course – full course fee applies 

  • If Australian Pacific Training Solutions is required to cancel a course the customer will be entitled to a full refund or transfer to a course on another date.  

  • Australian Pacific Training Solutions is not liable for any costs incurred by our client e.g. employee wages if a course is cancelled for any reason.  

  • If the client cancels a course and travel expenses have already been incurred by Australian Pacific Training Solutions, the client will be required to pay for these expenses.  

To cancel a course, please ensure that you contact us as soon as possible to ensure that we can cancel the training with the scheduled trainer and assessor.  

Invoice Payment Terms: Invoices are to be paid within 14 days of receipt unless specifically stated otherwise.

Certificates: After the course has been conducted, each participant will be sent an email advising that their certificate can be downloaded from their Training Desk portal.  

The client contact for each booking will also be able to download these from their Training Desk portal. 

Methods of Payment for Students: Australian Pacific Training Solutions (APTS) is committed to providing flexible payment options for our clients to ensure a smooth and convenient booking process. At the time of booking, clients will be asked to specify their preferred payment method. We offer the following payment options:

  1. Default method - Client pays for all students: By default, clients booking training are responsible for the payment of training fees for each student enrolled in the course.

  2. Individual student payment: If a client prefers that students pay individually for their courses, the client must inform their APTS representative during the booking process. In this case, each student is required to sign up and pay for their course using a credit card through the portal link provided by APTS.

  3. Mixed payment method: A client may also opt for a combination of payment methods. This allows some students to pay individually while others are enrolled by the client, with their fees invoiced directly to the client. The client must specify their preferred payment arrangement to their APTS representative during the booking process.

Please note that it is the client's responsibility to communicate their desired payment option to their APTS representative at the time of booking. Our team is dedicated to accommodating your needs and ensuring that the payment process is as seamless as possible. Responsibility for Student Fees: By enrolling their employees in our courses, the Employer hereby acknowledges and agrees that they shall be fully responsible for ensuring the timely payment of all applicable course fees for each of their employees participating in the course(s). In the event that any of the Employer's employees fail to pay the required course fees in accordance with the established payment schedule, the Employer shall be held liable for any outstanding balances and shall be required to remit payment for the unpaid course fees in full within fourteen (14) days of receiving a tax invoice from our company. The Employer understands and agrees that any unpaid course fees by their employees may lead to legal action against the Employer to recover the outstanding amounts, along with any associated costs, expenses, and attorney's fees incurred in the process of collection.

A client will be deemed to have enrolled students if they register students through their portal or booking calendar without making an immediate payment, ask APTS staff to enrol a student on their behalf, or permit staff members to attend the training on the scheduled day without prior enrolment.
